Privacy Policy

The short version

We hold what we need to do the work and nothing we do not. We do not sell anyone's information, and we do not share it with advertisers. Sensitive details are encrypted in our database.

If you are a business we work with

We hold:

• — Your business name, address, phone number and website.
• — The name and email of whoever we deal with.
• — What we measured about your visibility in search.
• — Notes from our work on your account.

If you connect a Google account, we hold a token that lets us read what you allowed — never your password. You can withdraw it at any time from your own Google account, and we will stop having access.

If you are someone who contacted one of our clients

You filled in a form on a contractor's website, or called or texted them, and that contractor uses us. We hold what you gave them — your name, your phone number, your address and what you said about the job — so they can get back to you.

We are handling it for them, not using it for ourselves. We will not market to you, sell your details, or use them for anything except passing your enquiry to the contractor you contacted.

If a contractor has our automatic text-back turned on, a reply may be written by a computer rather than a person, which means the message you sent is processed by an AI service to produce that reply. It is not used to train anybody's model. A person at the company sees the conversation and can take it over at any point.

Want your details removed? Email austin@gainflo.net and say which contractor you contacted. We will delete what we hold and tell them you asked.

Who else sees it

Only services we need to do the work, and only the part they need:

• — Google — for your business listing and search data, when you have connected it.
• — Twilio — to send and receive calls and texts on a client's behalf.
• — Anthropic — to write page content and, where a client has turned it on, automatic replies. Not used to train models.
• — Our hosting and email providers — to run the service and send mail.
• — Search data providers — these receive a search term and a location, never anyone's personal details.

We will also hand something over if the law requires it. We will tell you when we are allowed to.

How it is kept

Email addresses, phone numbers, customer names, message contents and access tokens are encrypted in our database — not merely password-protected. Access is limited to people who need it to do the work.

No system is perfectly secure. If something happens that affects you, we will tell you rather than hope you do not notice.

How long we keep it

Client records last as long as the engagement and up to two years after, because questions about past work come up. Enquiries from homeowners are deleted when the contractor no longer needs them or on request, whichever is sooner.

What you can ask for

A copy of what we hold about you, a correction, or deletion. Email austin@gainflo.net and we will come back to you within thirty days. We will not charge you and we will not make it difficult.

Cookies

We use one cookie, to keep you signed in. We do not run advertising trackers on our own site or on the websites we build for clients.

Children

This is a service for businesses. It is not for anyone under 18 and we do not knowingly collect anything from them.

Changes

If we change something that matters, we will tell the businesses we work with before it takes effect.
